Know before you go!

Our Policies

All field trips include round-trip transportation via late-model, luxury motor coaches with “WCs”, Wi-Fi, electrical outlets and DVD players, all admissions, activity fees, taxes and gratuities and a Travel Store Travel Coordinators to accomany your group throughout your trip. All prices shown herein are based on a minimum of 40 paying participants per motor coach (except where otherwise noted). On overnight trips, students are housed four to a room and adults two to a room. All meals are included except where otherwise indicated. It is our desire to keep our policies as liberal and uncomplicated as possible and, of course, we will comply with all local school board policies.

Deposits & Payments

One Day Field Trips: No deposit is required. Final payment is due 30 days in advance.

One Night Field Trips: $100.00 deposit per person at an agreed upon date. Final payment is due 45 days in advance. Rooming lists are requested 40 days in advance.

Two Night Field Trips*: $150.00 deposit per person at an agreed upon date. Final payment is due 45 days in advance. Rooming lists are requested 40 days in advance.

Three or More Nights*: $200.00 per person at an agreed upon date. Final payment is due 45 days in advance. Rooming lists are requested 40 days in advance.

*A surcharge will apply in instances where a request for single room(s) is received after a confirmation packet is delivered.

Individual Cancellations & refunds

One Day Field Trips: Participants on a field trip who must cancel within 7 days of departure, for any reason, will not receive a refund.

All Overnight Field Trips: Participants on a field trip who must cancel prior to the final payment date will receive a full refund. Participants who must cancel after the final payment date and 30 days prior to the trip will forfeit the deposit. Anyone cancelling 30 days prior to the trip departure date, for any reason, will not receive a refund. This policy will vary only in the instance where transportation is being provided by an airline.

Take-It-All-In Stamina

Traveling is a constant learning experience. We take in a lot of history, culture, and/or science on each trip because we want students to see and do as much as possible. Although it may be tempting to take a break or opt out of an activity, we encourage everyone to remain actively involved. Take advantage of all the experiences the day has to offer!

POSITIVE ATTITUDE

Traveling often requires flexibility and patience. A road may suddenly close or the weather may take an expected turn. Come prepared—ready and willing to adapt as needed.

RESPECT

After ensuring personal safety, maintaining respect is key to a pleasant trip. Remember that you are a guest at your destination. Demonstrate respect for yourself, your leaders/coordinators, guides, and the local culture.

Travel Information

Planning a field trip is a lot of work, and you want to avoid as many challenges as possible. We want your field trip to be memorable because of the positive experiences.

Motor Coach
Important Guidelines

We‘re proud of the motor coaches we use on our field trips! They are the safest on the road. We need your support to keep them functioning well and remaining clean and comfortable. Please ask students and adults to adhere to the following:

  • Safety first! Students are not permitted to sit in the front seats. Everyone should remain seated at all times while the motor coach is moving (unless accessing the onboard bathroom). Keep in mind that students often want to explore the amenities on the motor coach, especially the bathroom; please use the bathroom facility only as truly necessary. (Remember, what goes in the bathroom stays in the bathroom the entire trip!!!)
  • While traveling in the dark, please exercise caution when using lighted electronics and flash photography. Internal lights reflecting on the windows can create a hazard for the driver’s visibility and responsiveness.
  • AVOID ANY ACTIVITY ONBOARD THAT WOULD DISTRACT YOUR DRIVER’S ATTENTION FROM THE ROAD!!!!
  • Remind students not to stand on the seats, sit on the armrests, or use seating for foot cushions. Please refrain from repeatedly “clicking” the footrests as well.
  • Please use the window shades with caution and only as absolutely necessary. These are equipped with a spring-snap return mechanism and can easily be damaged.
  • Do not disconnect or attempt to rewire any audio/visual equipment, electrical devices or charging ports on the motor coach. Ear phones/private listening devices are highly recommended for everyone’s comfort.
  • Please restrict onboard drinks (including coffee) and snacks to leak-proof, resealable containers. Gum is strictly prohibited, along with chocolate, dairy products, peanuts, or items that readily melt. Trash bags are available on every motor coach; please use these. Students and adults will be responsible for cleaning up any of their own spills per guidelines provided.
  • To optimize student safety, organization, and appropriate conduct, The Travel Store recommends that a school employee/teacher rides aboard each and every coach and that the lead teacher travels on Coach #1.

Day Trips & Overnight Trips
Important Guidelines

Please review the following guidelines for students and chaperones attending the upcoming field trip with The Travel Store. Clear communication of these expectations will ensure a safe and enjoyable experience for all. (Also review the specific sheet “Important Guidelines for a Safe & Enjoyable Motor Coach Ride” enclosed in your Education Packet.)

  • Students must remain with chaperones and their groups at all times and follow rooming, seating, dining, line-up, assembly, or sub-grouping assignments as necessary.
  • Students should always respond cooperatively and promptly to directions given by teachers, Travel Coordinators, chaperones, hotel administrators/security officers, or tour guides.
  • Chaperones should remain constantly alert to their student groups at all times and avoid personal errands, coffee breaks, or extended cell phone conversations.
  • Students must not litter or deface any site or property that is visited on the trip.
    It is the students’ sole responsibility to keep up with their money and personal property.
  • Review school guidelines for dress codes, weather-related items, hazardous items, and electronics. Drinks/snacks should be in resealable containers. Chocolate, gum, dairy or peanut products are not allowed. Please place appropriate snacks in your backpack, and follow all trash disposal guidelines provided.
